What columns should a freight tracking spreadsheet have?

Eighteen, in this order: ship date, reference or PO, origin city, state and ZIP, destination city, state and ZIP, mode (LTL, FTL, parcel), carrier, pallets, weight in pounds, freight class, quoted rate, invoiced amount, variance (a formula, invoiced minus quoted), pickup date, delivery date, status, PRO or tracking number, BOL number, and notes. The variance column is the one most spreadsheets skip and the one that pays: it is the invoice audit, done by hand.

When does a freight tracking spreadsheet stop working?

At about 50 shipments a week, $500K a year in freight spend, or 100 loads a month. Past that, the spreadsheet cannot price a lane across carriers, cannot track a load without someone copying a PRO number into a carrier site, and cannot audit invoices at the charge level. What is in the template

Three sheets, one formula, and nothing you will not fill in.

The Shipments sheet is the log: one row per load, with the quote and the invoice side by side and a variance column that computes itself. The Carrierssheet holds each carrier's contact, rate basis (per pallet, per mile, per hundredweight), fuel surcharge, and the date the rate was last updated, so a stale rate is visible. The Lanes sheet is the monthly review: shipments per lane, average quoted, average invoiced, average variance, preferred carrier.

The variance column is the whole point

Most freight spreadsheets track where a load is. Almost none track what it was quoted against what it was billed, which is why accessorials, reweighs, and reclasses go unnoticed.
