Freight audit savings calculator: what an audit recovers on your freight spend

Enter your annual spend by mode and your current audit coverage. This tool estimates the dollars a freight audit typically recovers and the reconciliation labor it saves, using editable industry recovery ranges.

How it works: Type in your spend by mode, pick your current audit coverage, and add your reconciliation hours. The calculator applies typical recovery ranges (all editable) and shows a low to high estimate plus the math behind it.

What this calculator estimates

This tool does not read your invoices. It applies typical industry recovery ranges to the spend you enter, by mode, and adjusts for how much auditing you already do. The result is a low and high estimate of what a freight audit could recover in a year, plus the reconciliation labor an audit could save if that time is no longer spent chasing overcharges by hand.

It is not a guarantee. Every field, including the recovery percentages themselves, is editable, so you can plug in your own audit history if you have one instead of the default industry ranges.

How to use it

Start with your annual spend for each mode you ship. Leave a mode at zero if you do not ship it. Pick the audit coverage that matches what you do today: none, spot checking a few invoices, or a full manual audit of every invoice. Then add how many invoices you process a month and how many hours your team spends reconciling them, along with a loaded hourly cost for that time.

Click Calculate savings to see the low to high recovery estimate, the labor saved, and a row by row math table you can export or copy as a summary.

Common freight audit blind spots by mode

Mode
Typical recovery range
What often gets missed
LTL
3% to 7% of spend
Fuel surcharge percent, accessorial fees, and freight class changes stack up across many small invoices.
Truckload
1% to 3% of spend
Detention and layover billed past the documented free time, and lumper fees billed above the receipt.
Parcel
2% to 5% of spend
Late delivery refunds under the carrier money back guarantee that are never claimed.
Ocean
2% to 5% of spend
Demurrage and detention days billed past the free time, and destination charges never on the original quote.
Air
1% to 3% of spend
Chargeable weight recalculated at a higher figure than the shipment actually weighed or measured.
Warehousing
2% to 4% of spend
Pallet day storage billed past the ship date, and platform or minimum fees layered on top of the contract rate.

How Warp bills instead

Warp LTL is priced per pallet and is all inclusive: no fuel surcharge, no accessorials, and no terminal handling fees added after the fact. Truckload is one all inclusive rate with ELD tracking, box truck and cargo van are flat per load with liftgate included on box trucks, parcel is one all inclusive price for the batch with a carrier label per box, ocean is confirmed on a call the same day, air is priced by chargeable weight, cross docking is built into the freight rate, and warehousing is pallet day storage with no minimum stay and no platform fee. Every Warp invoice is also audited against its own quote automatically, so the recovery pool this calculator estimates does not build up on Warp freight in the first place.

Freight audit savings FAQ

How much money does a freight audit actually recover?

Shippers who have never audited before typically recover 1 to 7 percent of spend depending on the mode: LTL runs 3 to 7 percent, truckload 1 to 3 percent, parcel 2 to 5 percent, ocean 2 to 5 percent, air 1 to 3 percent, and warehousing 2 to 4 percent. These are typical industry ranges, not a guarantee, and they assume the invoices have never been checked before.

What is the coverage multiplier in this calculator?

It adjusts the recovery range for how much auditing you already do. If nobody checks invoices today, the full range is still available to recover. If someone spot checks a few invoices, they are typically already catching about 40 percent of what a full audit would find, so the remaining opportunity is smaller. A full manual audit already catches most of it, so the additional upside is smaller still.

Why does the calculator count reconciliation labor as savings?

The hours your team spends matching invoices to quotes and rate confirmations are a real cost, whether or not the audit turns up an overcharge. If that reconciliation work is automated or eliminated, the labor cost is recovered even in months with no billing errors. That is why the calculator reports it separately from the dollar recovery.

Are the recovery percentages exact for my company?

No. They are typical industry ranges pulled from freight audit and accounts payable benchmarks, and every field in the calculator is editable. If your own audit history shows a different recovery rate for a mode, change the low and high percent for that row and the totals update.

Does this calculator use my actual invoices?

No. This tool takes manual inputs only: your annual spend by mode, your current audit coverage, and your reconciliation time. It does not read a CSV or PDF. For a line by line check of real invoices against real quotes, use the freight invoice audit tool instead.

How is truckload audit savings different from LTL?

Truckload invoices are usually checked against a single rate confirmation per load, so the main leaks are detention, layover, and lumper fees billed without documentation. LTL invoices involve more variables (class, weight, accessorials, fuel surcharge, discount tier), which is why the typical LTL recovery range runs higher than truckload.

What does Warp remove from this calculation?

Warp LTL is priced per pallet and all inclusive, with no fuel surcharge, no accessorials, and no terminal handling fees to check. On Warp freight there is no overcharge pool to recover on those line items, so what an audit tool would otherwise catch does not occur in the first place. Every Warp invoice is also checked against its own quote automatically.

How often should I re-run this estimate?

Re-run it whenever your spend mix changes meaningfully, such as adding a new mode, changing carriers, or moving from no audit to a full manual audit. If you already run a monthly audit and want to see actual dollars recovered rather than an estimate, that is a different exercise: track what each audit period actually finds instead of projecting from industry ranges.
