What this audit catches

The tool runs seven checks against every row: an exact repeated PRO number, a repeated invoice number, the same BOL billed by two different carriers, the same BOL billed twice by one carrier, an exact match on amount, ship date, lane, and carrier, a near duplicate reference that differs only by a leading zero or a revision suffix, and a same lane, same date amount that lands within 1 percent of another line.

Rows that trip more than one check get flagged once, not twice. Every duplicate set names the line to keep, usually the earliest invoice date, and totals the dollars at risk in the rest of the set.

How to run it

Export your invoices from whatever system holds them: accounting software, a carrier portal, or a broker statement. Keep the invoice number, PRO or tracking number, and BOL number columns if you have them, since those three drive the matching. Upload the CSV, or copy the same rows and paste them directly if exporting a file is not convenient.

Run it after each billing cycle rather than once a year. Duplicate invoices are easiest to dispute inside a carrier's standard filing window, which shrinks the longer they sit unpaid or, worse, paid twice.

How common is duplicate freight billing?

What is the difference between a duplicate PRO and a duplicate BOL?

The PRO or tracking number is assigned by the carrier that moves the freight. The BOL number is assigned by the shipper and travels with the load regardless of who bills it. Two invoices sharing the same BOL but different carrier names usually means a carrier and a broker both billed the same shipment, which is the highest value duplicate to catch because the two invoices can look completely unrelated otherwise.

What counts as a near duplicate invoice?

A near duplicate is a pair of references that are the same underlying number written two different ways, for example 00990011 and 990011, or INV-1010 and INV-1010-R. This tool strips leading zeros and common revision or copy suffixes before comparing, so it catches these without flagging every invoice number that happens to share digits.

How do I dispute a duplicate freight invoice?

Pick the invoice you actually paid or plan to pay, usually the one with the earliest invoice date, and flag the rest of the set for dispute. Send the carrier or broker the disputed invoice number, the reference it duplicates, and the shared PRO, BOL, or amount and date that ties them together. Most carriers have an overcharge or billing disputes desk that will reverse a confirmed duplicate faster than a general accounts payable inbox.

Can a carrier and a broker both legitimately bill the same load?

No. Only one entity should invoice a shipper for a given load: whichever party you contracted with for that shipment. If both a carrier and a broker send an invoice for the same BOL, one of them is billing in error, whether from a miscommunication about who owns the relationship or an attempt to collect twice. Either way it should be disputed, not split.

Do I need special software to find duplicate invoices?
